Approval policies decide which bills approve automatically and which need a person to sign off. wamo runs your policies on every bill, so once your rules are set, nothing is paid without the sign-off you have asked for. Policies are created and edited by an Admin in Payables Settings.
If you have not created any policies, every bill waits for an Admin to approve it. This is a good way to start while your team gets used to Payables.
Building a policy
In Settings, review your existing policies or select Add new, then:
1. Name the policy. A clear name makes future administration easier. The sentence-style builder shows your rule in plain words as you go.
2. Set the condition. Choose a field such as Amount, pick a comparison operator — for example greater than or equal to — and enter a value. The builder shows every field and operator available to you.
3. Choose what happens. Select Add approval and choose an approver, or select Auto-approve if that condition needs no sign-off.
4. Set the priority. If a bill could match more than one policy, the priority you set decides which one applies.
Example. To require sign-off on larger bills: set the field to Amount, choose greater than or equal to, and enter 2,000. Then select Add approval and choose the approver — say, Avery. Any bill of €2,000 or more now needs Avery's approval before it can be paid.
Auto-approve
Select Auto-approve for a condition when you do not want any approval required — useful for trusted, low-value or recurring bills that meet a rule you have defined.
If you run the business alone, an Auto-approve policy lets bills move straight to Ready to pay once you have reviewed them.
Frequently asked questions
Which conditions can I use? The policy builder in Settings lists every field and operator, so you can combine them to match your own process.
What if a bill matches more than one policy? The policy with the highest priority applies. You set the priority when you build or edit your policies.
What if a bill matches no policy? It waits for an Admin to approve it.
Can an approver approve their own bill? Yes. If you want a second person to sign off, create a policy that routes those bills to a different approver.
Will I be notified when a bill needs my approval? Not yet — notifications are in development. Check the For approval tab each time you log in to wamo.
