What is Payables? An overview of paying bills with wamo

Payables is where you manage every bill your business has to pay — in one place, with a full record of who did what. You add the invoice, wamo reads and checks it, your team approves it, and you pay it. It is available on all wamo plans.

You will find it in the wamo web app, in the left-hand navigation under Payables. For the best experience, use it on a computer. Payables in the wamo mobile app is in development.

Payables is for money going out. For the invoices you send to your own customers, see [Link: Invoicing and receivables].

What Payables does

  • Capture — add bills by forwarding an email to your AP inbox, uploading a file, or entering the details manually.

  • Verify — the AP Trust Agent reads each invoice, extracts the details and runs its Trust & Compliance checks.

  • Approve — bills follow the approval policies you define.

  • Pay and track — release payment on approved bills, with vendor analytics and an aging view built in.

How a bill moves through Payables

Every bill follows the same path, so your team always knows what happens next.

1. Capture. An invoice arrives by email, upload or manual entry and becomes a Draft with the details already filled in.

2. Verify. The AP Trust Agent checks the bill. Anything unclear is flagged as Missing info for a person to resolve.

3. Review. A team member confirms the extracted values against the original invoice and submits the bill.

4. Approve. Your approval policies decide whether the bill approves automatically or goes to an approver. Without a policy, it waits for an Admin.

5. Pay. Once approved the bill is Ready to pay, and an eligible team member releases the payment.

What each bill status means

Awaiting approval

Submitted and waiting on an approver, per your policies.

Ready to pay

Fully approved and cleared to be paid.

Cancelled

The bill was cancelled and will not be paid.

Seeing what you owe

The top of the Payables screen shows your aging view — everything outstanding, grouped by urgency, so you know what needs attention first.

What it means

Outstanding

The total you owe across all open bills, shown as an EUR equivalent.

Overdue

Bills past their due date. Handle these first.

Due in 7 days or less

Bills due within the next week.

Due in 8–30 days

Bills due later this month.

Later or no date

Bills due beyond 30 days, or with no due date set.

Below the summary, your bills are listed with their status, amount, issue date and due date. Filter by tab — All, Draft, For approval, For payment and History — or search by vendor or bill number.

Payables does not send notifications yet, so make it part of your routine: check For approval and For payment each time you log in to wamo.

An Admin needs to set Payables up before your team can use it. Start with [Link: How do I set up Payables for my business?].
