How do I manage vendors in Payables?

Open Vendors in the left-hand navigation to see everyone you pay, with their contact information. Click a vendor to open their profile. Vendors are managed by an Admin or AP clerk.

How vendors get added

  • You add them. Enter the vendor's details before or after their first invoice arrives.

  • The agent adds them. When an invoice arrives from a vendor it cannot match, the AP Trust Agent creates a vendor draft linked to that bill. You complete the missing details when you assign it.

Once a vendor is saved, future invoices from them are linked automatically — see [Link: Trust & Compliance: how wamo checks every bill].

What is on a vendor profile

Each profile summarises your relationship with the vendor at a glance:

  • Total spend — everything you have paid this vendor.

  • Open balance — what you currently owe them.

  • Average invoice value — the typical size of their bills.

The profile also holds the vendor's contact details, address, bank accounts and VAT ID — everything needed to verify and pay them confidently.

Keeping vendor details current

Accurate bank details are what the payee check compares against. Out-of-date details are the most common reason a bill is held as Missing info, and the most common route to a misdirected payment.

If a vendor tells you their bank details have changed:

1. Confirm the change with the vendor using a phone number or contact you already hold — not the details on the new invoice.

2. Update the bank account on their vendor profile.

3. Review any bill that was held, and submit it again.

Frequently asked questions

Who can add or edit vendors? An Admin or AP clerk.

Why does a vendor's open balance not match what I expect? The open balance only counts bills that are in Payables. Bills paid outside Payables, or never added, are not included.
